Job Description

Job Title – Administrator  

Reporting to: Admin and IT Manager

Working Hours: 37.5 hours a week

Site: Head Office

Direct Reports: N/A

GBS are looking for an Administrator to support the apprenticeship and funded learning provision, the role will require liaison with managers, other support staff, trainers, skills coaches, commercial clients and learners and will provide support to the Learning and Development Division in undertaking the day to day administration duties required.

DUTIES AND RESPONSIBILITIES

  • Administration for Apprenticeship, Kickstart and Bootcamp programmes
  • Conducting learner and apprentice enrolments, completing enrolment paperwork to a high standard, for relevant contracts
  • Updating of the Programme Tracker, in liaison with Quality Admin Manager – data collation and entry and providing statistical reports for Head of Quality & Compliance
  • Reporting review issues / trends and themes to Quality Admin Manager, Head of Quality & Compliance and Safeguarding Lead
  • Assisting with preparation for EQA audits and Ofsted visits
  • Registering learners with awarding bodies and end point assessment organisations; booking of functional skills tests and end point assessments; tracking and report test results to assessors/trainers
  • Tracking incoming assessments for IQA and certificate application on completion of final IQA
  • Complying with all legislative and regulatory requirements
  • General administration duties and covering reception duties where required
  • Promoting a positive image of GBS Ltd and the work that is carried out across its various services.
  • Demonstrating flexibility in responding to changing demands in personal, sectional or the team’s workload.
  • Taking responsibility for one’s own professional development and continually updating your CPD record when necessary, participating in appropriate staff development activities as required including the company appraisal scheme.

  • Ensuring confidentiality, never passing on personal information unless there are safeguarding issues of concern which must always be reported to the Designated Safeguarding lead or to the Police or Social Services in an emergency
  • Read, understand and abide by the GBS Ltd’s safeguarding and prevent policies and know how to respond to, report and record any concerns you may have about a child or adult at risk
  • Undertake regular safeguarding training as required
  • Carrying out any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the job.

Safeguarding and Prevent Responsibilities

  • Ensure the setting is meeting its legal and statutory requirements including the Prevent Duty
  • Undertake Prevent awareness training
  • Referring cases to the Safeguarding Lead where there is a radicalisation concern as required.
  • Keep own training up to date

 

From time to time as the business needs, occasional evening and/or weekend work may be required.

Time off in lieu will ordinarily be granted but if this is not possible, paid overtime may be authorised by the

CEO.

Requirements

Experience, Qualifications

  • Experience in Office Administration in a training organisation
